Position Summary
The Clinical Administrative Coordinator assists the Clinical Education Manager (CEM) in all aspects of the clinical phase of the program. Duties include the maintenance of clinical sites along with record-keeping associated with all aspects of the clinical phase of the program. Independent judgement is required to plan, prioritize, and organize a diversified workload and recommend changes in office practices or procedures. The CAC must maintain a professional, upbeat, and energetic demeanor. This is a non-exempt position.
Essential Functions
- Assists in the coordination of all aspects of the clinical year including development, modification, and maintenance of PA students’ clinical rotation schedule for supervised clinical practice experience (SCPEs).
- Assists in the administration of all classroom activity, assessment, and evaluation of instruction for clinical year students.
- Assists in identifying potential clinical sites and secure affiliation agreements.
- Assists in the organization of clinical site visits to establish/evaluate rotations and/or supervise and evaluate students during their clinical rotations.
- Coordinates student credentialing and onboarding for timely delivery to clinical sites, to include immunizations, background checks, badge access, electronic health record (EHR) access and drug screens.
- In conjunction with CEM, assists in the orientation of preceptors and staff members at clinical sites regarding objectives and expectations for supervised clinical practice experiences (SCPEs).
- Assists in ensuring clinical sites provide orientation and any special training needed such as rules of institution, accessing medical records, etc.
- Assists in organization of student and preceptor documents and data.
- Assists the CEM in providing regular feedback to the program concerning student progress and problems.
- Assists in the administrative oversight of student files for clinical academic progression.
- Coordinates payments for SCPE preceptors and health systems.
- Performs other work-related duties as assigned.
Education/Experience/Skills
- A minimum of one year of experience and familiarity with clinical practices preferred (previous experience in similar role for medical education programs, pharmaceutical sales, etc.)
- A bachelor’s degree is preferred.
- Strong interpersonal abilities with excellent verbal and written communication skills to effectively communicate with students, staff, faculty, preceptors, clinical site staff, and organizational administrators.
- Familiarity with the use of computers, Excel, Microsoft Suite, organization, word processing, and communication.
- Enthusiastic about working in a collaborative environment.
- Self-motivated with refined organizational skills.
- Demonstrate commitment to maintaining a safe work environment free of harassment, violence, and unlawful discrimination.
- Ability to communicate effectively, get along well with co-workers, and deal effectively and professionally with colleagues.
Working Environment
- Work is generally performed indoors in a typical office setting.
- Some weekend/evening work required infrequently.
- Position works with strictly confidential information.
- Frequently required to be in front of a computer screen for extended periods of time.
Physical Demands
The functions are usually performed while sitting, but may involve some amount of time standing, stooping, kneeling, bending, crouching, lifting (max. of 40 lbs.), walking, carrying, reaching, stretching, climbing, performing repetitive motions of the hands or wrists and other movements.
Compensation
Based on education and experience, the compensation range starts at $18.75/hour to a median of $19.75/hour.
